Welcome to Vanigan POS

Vanigan POS is an enterprise-grade, offline-first Point of Sale, Inventory Management, and GST Billing system designed for retail stores, supermarkets, pharmacies, electronics shops, hardware stores, and wholesale distributors.

Built on an ultra-fast local database architecture with optional cloud sync and local AI intelligence, Vanigan POS ensures that your checkout lines keep moving even when the internet is completely down.

Installation Steps

  1. 1Locate the installer executable: VaniganPOS-WebSetup.exe.
  2. 2Double-click the installer file.
  3. 3If prompted by Windows User Account Control (UAC), click Yes.
  4. 4Choose the installation folder (Default: C:\Users\<User>\AppData\Local\Programs\vanigan-pos).
  5. 5Choose whether to create a Desktop Shortcut and Start Menu entry (Recommended: Check both).
  6. 6Click Install. The wizard will unpack all necessary local database engines, runtime components, and UI assets.
  7. 7Check Launch Vanigan POS and click Finish.
No Internet Required for Daily Billing: Vanigan POS runs on a self-contained local PostgreSQL / embedded database engine. You do not need an active internet connection to create bills, manage inventory, or run day closings.

2. Hardware Setup & Peripheral Connection

Vanigan POS is built to interface directly with industry-standard retail POS peripherals:

1. Barcode Scanners (1D & 2D / QR)

Interface: USB or Bluetooth HID (Keyboard Emulation mode).

Setup: Simply plug your USB barcode scanner into any open USB port. No custom driver is required. Ensure your scanner is programmed with a standard "Enter" (CR/LF) suffix (this is the factory default for 99% of scanners).

2. Thermal Receipt Printers (POS-58 & POS-80)

Supported Widths: 2-inch (58mm) and 3-inch (80mm) thermal printers (Epson, TVS, Citizen, Rugtek, Everycom, NGX, etc.).

Setup: Install manufacturer driver, verify Windows Test Page, open Settings → Print tab, select printer name, choose 58mm or 80mm, and click Test Print Receipt.

3. Electronic Cash Drawers (RJ11 / RJ12)

Connect the RJ11 cable from the bottom of your cash drawer into the DK (Drawer Kick) port of your thermal printer. When an invoice is completed or Cash received is tendered, the printer automatically sends the kick pulse to open the drawer.

4. Electronic Weighing Scales

Supports standard RS-232 / USB Virtual COM scales. When a weighed item is scanned, the tare and net weight are instantly pulled into the quantity column without manual typing.

3. Initial Setup & First-Time Launch

When launching Vanigan POS for the first time, the application presents the First-Run Store Setup Wizard:

Step 1: Business Identity

  • Store / Business Name: The trading name of your business (prints on all bills).
  • Legal Entity Name: Your registered business name for tax filings.
  • GSTIN / Tax ID: Your 15-digit Indian GST number (or local VAT number).
  • Mobile / Phone: Primary phone number for customer receipts and WhatsApp alerts.
  • Store Address & City / Pincode: Full store address.
  • Store Logo: Click Upload Logo (PNG/JPG format, max 2MB) to imprint your brand on receipts and A4 invoices.

Step 2: License & 7-Day Free Trial

  • Vanigan POS includes an instant 7-Day Full Feature Trial with zero credit card or registration required.
  • If you have purchased a license key from U&T Technologies, paste your 25-character key in the License Key box and click Activate.
  • If you want to explore first, click Start 7-Day Free Trial. All features (Billing, Inventory, AI OCR, Reports) are fully unlocked immediately.

Step 3: Admin Security Creation

  • Enter your Admin Username (e.g. admin).
  • Enter your 5-digit Security PIN (e.g. 12345). This PIN is used for rapid cashier login and supervisor overrides.
  • Click Complete Setup. The system seeds default tax rates (GST 0%, 5%, 12%, 18%, 28%), standard measurement units (Pcs, Kg, Ltr, Box), and opens the login terminal.

4. User Authentication & Security PINs

Vanigan POS supports fast cashier turnover with dedicated role-based security:

Fast PIN Login

  1. On the login screen, click your user avatar or select your username.
  2. Enter your 5-digit numeric PIN using your keyboard numpad or the on-screen touch keypad.
  3. Press Enter or click Unlock Terminal.
  4. The system opens the terminal assigned to your user permissions (Cashiers land in Billing Terminal, Managers on Dashboard).

Cashier Switching During Rush Hours

To change cashiers without closing the terminal, press Ctrl + L or click Switch User on the top header.

The new cashier enters their PIN, and their name is immediately associated with all subsequent sales.

5. The POS Billing Terminal (Daily Cashier Guide)

The Billing Terminal is the engine of Vanigan POS. It is engineered to complete a 5-item checkout in under 8 seconds using keyboard-only input.

Basic Billing Workflow

1.
Focus on Search Bar: The cursor is automatically waiting in the search bar.
2.
Add Items: Scan the barcode (scanning again increments quantity +1), or type 2–3 letters of the item name, press Down Arrow, and press Enter.
3.
Change Quantity: Press F2, type the new quantity (e.g. 5), and press Enter. Quick Syntax: Type 5*8901234567890 into barcode bar to scan 5 pieces in one step!
4.
Attach Customer (Optional): Press Alt + C to jump to Mobile box. Existing balance, points, and Khata credit display immediately.
5.
Collect Payment & Print: Press F5, enter tender, and press Enter. Cash drawer pops open, receipt prints, and terminal resets for the next customer!

For fast grocery or kirana environments where staff remember item names in local language:

  1. Click the Microphone icon in the billing bar (or press Ctrl + M).
  2. Say item names and quantities naturally: "Add two kilograms sugar, one bottle sunflower oil, and five packets Maggi noodles."
  3. Vanigan's local phonetic recognition matches your catalog items and populates the cart automatically.

Multi-Tender Payments (Cash, UPI, Card, Khata)

When you press F5, the Payment Dialog opens with support for split payments:

  • Single Method: If paid fully in Cash or UPI, enter the amount into that field.
  • Split Tender: For example, ₹1,000 in Cash and ₹450 via UPI settles net ₹1,450 seamlessly.
  • Dynamic UPI QR Code: Click Generate QR Code to render a dynamic UPI QR with your VPA and the exact bill amount for instant scanning.
  • Khata (Store Credit): Post credit directly to customer's approved ledger.
Hold & Resume Bills

Press F4 to park an order with an assigned Token Number and serve the next customer. Press Alt + F4 anytime to recall it in 1 second.

Sales Returns & Refunds

Press F3, scan invoice barcode, pick return quantity and reason. Settle via Instant Cash, Credit Note, or Item Exchange.

Negative Stock Prevention

Strict Mode blocks overselling without supervisor PIN; Warning Mode alerts cashiers while logging an audit trail.

At the end of every business day (or cashier shift), the Day Closing Register ensures that physical cash in the drawer matches digital sales.

  1. Open Accounting → Day Closing.
  2. Review the System Expected Cash calculated from opening float, cash sales, and petty cash withdrawals.
  3. Count physical currency notes and enter quantities in the denomination matrix (₹500, ₹200, ₹100, ₹50, ₹20, ₹10, coins).
  4. The system validates the difference: Green (₹0.00) perfect match, Red shortage, or Blue excess.
  5. Click Close Day & Lock. A closing summary slip prints on the thermal printer, and the day's books are sealed.

7. Product & Catalog Management (Inventory)

Navigation: Sidebar ──► Masters ──► Products

Manage your catalog, tax rates, shelf locations, and reorder levels with lightning speed.

Adding a New Product

  1. Navigate to Masters → Products.
  2. Click + Add New Product.
  3. Fill in the required product specifications:
    • Item Name: e.g., Tata Tea Gold 500g.
    • SKU / Barcode: Enter the printed EAN/UPC barcode, or click Generate Barcode.
    • Category & UOM: Select category and unit (Pcs, Kg, Ltr, Box, Meter).
    • Shelf / Rack Location: Assign physical mapping (e.g., Aisle 3 - Rack B).
    • Pricing: Purchase Cost, MRP, and discounted Selling Price.
    • GST Tax Rate: Select GST slab (0%, 5%, 12%, 18%, 28%) and HSN code.
    • Minimum Reorder Level: e.g., 10 to trigger automatic low stock alerts.
  4. Click Save Product. The item is immediately billable across all terminals.

8. Purchase Management & Smart AI Inwarding

Navigation: Sidebar ──► Purchase (Shortcut: F11)

Mode 1: Manual Purchase Inward

  1. Press F11 or click Purchase in Sidebar.
  2. Select Vendor / Supplier from your vendor directory.
  3. Enter Supplier Invoice Number and Invoice Date.
  4. Add items with Received Qty, Free Qty, Unit Cost, Tax %, Batch Number & Expiry Date.
  5. Click Save & Inward Stock. Inventory counts update immediately.

Mode 2: ✨ AI Smart Invoice OCR Upload

Save 30 minutes of manual typing per supplier bill:

  1. Click the green ✨ AI Upload button.
  2. Drag and drop a supplier bill (PDF file or camera photo of a paper invoice).
  3. AI engine automatically extracts Vendor, GSTIN, Invoice Date, Bill No, Line Items, HSN, Quantities, and CGST/SGST Taxes.
  4. Review the table on screen and click Approve & Import.

Managing Customer Credit (Khata)

  • Every customer can be assigned a Credit Limit (e.g. ₹10,000).
  • When purchasing on credit (Udhar), select Khata in the payment modal.
  • Itemized transaction ledger tracks all dues. Record repayments with instant WhatsApp payment confirmation receipts.

Automated Loyalty Points

  • In Settings → Loyalty Points, configure earning rules (e.g., Earn 1 point per ₹100 spent; 1 pt = ₹0.50 discount).
  • Points display dynamically during checkout. Redeem with one click (Alt + P) to deduct directly from the total bill.
